SimpleSchedule walks you through setup by taking you on a fairytale journey. You will assist a storybook character in peril by setting them up with an appointment to help solve their issue.
This journey will simulate the workflow of SimpleSchedule which includes:
Locating the customer in the system, or manually entering them
Choosing the event type that matches their needs
Setting a time for the appointment
Assigning one or more agents to the event
Answering the questions for that event type, some of which may be required
Reviewing, and submitting to the calendar
Don't forget to view the Helpful Tips along the way.
Note- these calendar events do not count toward your monthly schedules total and are not saved in 'Booked Events'
After you complete (or skip) the fairytale journey, you will go to the Home card for the first time.
Before you complete setup, you will only have two options:
Journey Again
Begin Setup
The next step is to Begin Setup.
Once you complete setup, you will be brought back to the Home card, but at that time it will have new options.
This is a straightforward profile creation page where you will input your information.
If you add your company name, then that company name will show in the title of each calendar event.
Event types is the SimpleSchedule term for what the nature of the appointment is. Common business examples are:
Estimate
Install
Service
Every business is unique, so add event types that relate to your business.
Free users get up to 5 event types.
Now it's time to add your agents. You can either choose from people already in your Google Contacts, or you can build an agent in manually.
Agents are the people who will represent the company at the appointment. Common business examples are employees and contractors, but SimpleSchedule is flexible, so feel free to be creative with how you use it!
Each agent will get assigned a color. This is the color that the Google Calendar events that are scheduled only to that agent will be. If multiple agents are assigned to the same event, that event will always be a graphite color.
If 2 agents are both given the same color, both agents will have the same color events on the Google Calendar. There is not an option to add more colors as that is a Google Calendar restriction (9 total colors, so 8 agent colors plus graphite).
Free users can add up to 5 agents.
Every agent needs to have at least one capability, and a capability is a the SimpleSchedule term for the event type(s) that the agent can be assigned to.
Please keep in mind:

By default, all agents will start by having every capability. Click the Show more dropdown by each agent to update their capabilities as you see fit.
SimpleSchedule will help you create Google Calendar events, of which there are two different types:
Regular events (with a starting time & ending time)
All day events (which span full days, always from midnight to midnight)
Each event will have a duration, and for convenience, SimpleSchedule allows you to set default initial durations for both regular events and all day events.
For example, if your Default Event Duration was 4 hours and 20 minutes and you chose a starting time of 12:00pm, then SimpleSchedule will populate the ending time as 4:20pm on that same day. Please keep in mind that this is just for convenience as a starting point, and you can still adjust both times as much as you want.
Let's look at an All Day example. If you set your default to 4 days, when you input 4/23/XX, then the ending time will populate as 4/27/XX. Again, this is just a starting point for convenience and you can still adjust both times before moving to the next step.
When you schedule different types of events, you most likely have specific questions associated with them. Here are some common business examples:
Example for Install:
How many square feet is your house?
Example for Service:
What model number do you need serviced?
Each question must be assigned to at least one event type, but can also be assigned to as many as you like. For example, you might have a question like "How did you hear about us?" that you want to assign to every event type.
You can designate each custom questions to be required or not. If they are required, then the person using SimpleSchedule (your booking agent) must fill in an answer to that question before proceeding.
If a question is not required, then it is optional. That means that it will appear during that part of the process, but the booking agent does not need to fill in an answer, but can if they want to.
All answered questions will appear on the calendar event. Required answers will be bolded for emphasis.
You do not need to have a custom question for each event type. In fact, you can opt out of using custom questions altogether if that makes more sense for your business.
You have now completed setup.
SimpleSchedule is configured to your specific needs and you are ready to start scheduling live events.
